Executive Assistant/Personal Representative

We are seeking a competent and organized Executive Assistant/Personal Representative to assist in the day-to-day operations of Mega Tan in Qatar and support the CEO in the expansion of the salon and the launch of our tanning cream line. The ideal candidate will be a trustworthy, proactive, and detail-oriented individual with excellent communication skills.

As an Executive Assistant/Personal Representative, your primary responsibility will be to support the CEO in managing various tasks and representing the company in a professional manner. This includes, but is not limited to, the following:

Responsibilities:

Act as a representative of the company, supporting the CEO in daily business operations and strategic initiatives
Assist in managing calendars, scheduling meetings, and organizing events related to the expansion of Mega Tan and the launch of tanning creams
Coordinate travel arrangements and create detailed itineraries for the CEO and other team members as required
Maintain a high level of professionalism and confidentiality when interacting with clients, vendors, and stakeholders
Handle correspondence, including emails, phone calls, and other communications, and ensure timely responses
Organize and maintain office files and documents related to the expansion plans and tanning cream line
Provide administrative support for special projects, including marketing initiatives, legal matters, and other business development activities
Assist in managing personal errands and duties as delegated by the CEO
Uphold strict confidentiality regarding personal, financial, and business affairs of the company and its stakeholders
Continuously improve personal and professional skills to contribute to the company's growth and success

Requirements:

Demonstrated experience as an Executive Assistant or Personal Representative in a confidential environment for at least 5 years
Excellent written and oral communication skills in English
Proficiency in MS Office and other productivity tools to effectively manage tasks and documents
Ability to handle high-pressure situations with composure and discretion
Exceptional organizational skills, including the ability to multitask and prioritize responsibilities effectively
Proactive and independent approach to work, with the ability to anticipate needs and take initiative
Strong problem-solving skills to overcome challenges and find creative solutions
Experience with social media and marketing is a plus, as it will support our expansion efforts
